Hesabify

How Hesabify handles your receipts

What happens to a receipt after you upload it, in plain terms. This describes how the private alpha works today. It is not a privacy policy.

Your original is stored privately

The file you upload is kept in private storage, not as a public file. There is no public link to it. Hesabify creates a short-lived viewing link only after checking that you are signed in to the business it belongs to.

Google's Gemini API extracts the details

To pull information out of your receipt, Hesabify sends the uploaded file to Google's Gemini API. Google is a third-party service, and this is the step where your receipt leaves Hesabify's own systems.

What is extracted

Hesabify asks for the details an expense needs: the merchant, the date, the subtotal, tax and total, the currency, and individual line items. It also asks for the name a receipt is billed to, if one is printed. Extraction can be wrong or incomplete, which is why you review it.

You review before anything counts

When a receipt has been processed, Hesabify creates a draft expense from what was extracted. A draft stays out of your reports, your CSV download and your expense count until you review it and save it. Anything you correct replaces what was extracted.

Each business is kept separate

Every receipt and expense belongs to one business. Hesabify checks on the server which business you belong to before showing or changing anything, so another business on the alpha cannot see your records.

The services involved

Hesabify runs on Vercel. Receipt files are stored with Cloudflare R2, and extracted details and expenses are stored in a Neon database. Google's Gemini API extracts the details. The usage figures Hesabify keeps to improve the product contain no receipt content, merchant names or amounts.

Deleting your data during the alpha

There is no delete button yet. To have a receipt, or everything, removed, email support@hesabify.io and say what you want removed. We'll confirm once it's done. Removal from Hesabify does not guarantee immediate removal from every backup kept by the services above.

If you lose access to your account

Password recovery is not self-service yet. If you can't sign in, email support@hesabify.io.
